Contract tracking software for vendor and SaaS contracts that auto-renew
Vendor and SaaS agreements rarely go wrong on the day they are signed. They go wrong a year later, when the term rolls over for another twelve months because nobody remembered that notice had to be given 60 days before the end. Agreementsoftware reads your vendor contracts, pulls out the term, the auto-renewal clause and the notice period, computes the last day you can cancel, and emails the owner well before it arrives. Finance and operations get a renewal calendar they can trust instead of a spreadsheet someone updates when they have time.
Where vendor renewals slip
Most growing companies track vendor contracts in a spreadsheet, a shared drive and a few inboxes. The spreadsheet is accurate on the day it is built and a little less accurate every month after.
- The notice period sits in clause 14.2 of a PDF nobody has opened since signing.
- The person who signed the contract has changed roles or left the company.
- The SaaS tool renewed on a card, and the first sign is the charge on the statement.
- A price increase clause lets the vendor raise fees at renewal, and nobody checked the cap.
- Several teams bought overlapping tools, each on its own auto-renewing term.
What one missed notice deadline costs
Take a $24,000 per year software contract with a one year term, automatic renewal and a 60 day notice period. If the team decides in month eleven that it no longer needs the tool, it is already too late: the notice deadline passed a month ago and the contract renews for another full year. That is $24,000 committed for a tool the company wanted to leave.
Now compare it with the plan. Plus costs $888 per year when billed yearly. Catching that single renewal on time pays for the subscription many times over, and most companies have more than one vendor agreement with the same structure. This is an illustration with round numbers, not a customer result, but the arithmetic is the reason finance teams start here.
How it works
From a folder of PDFs to a renewal calendar
- Upload: drag in your vendor agreements, order forms and SaaS terms as PDF or DOCX. Folders, tags and counterparties keep them organized by vendor or department.
- Extract: AI reads each document and fills in parties, effective date, term, auto-renewal, notice period, termination, payment terms, liability cap and governing law. Every field shows the source sentence, and anyone with access can correct it.
- Compute: the notice deadline is calculated from the end of the term and the notice period, so you see the last safe day to cancel, not only the expiry date.
- Alert: the contract owner gets email alerts at 90, 60, 30 and 7 days before the notice deadline. On Plus, alerts also go to Slack and to an iCal feed that sits in the owner's calendar.
- Decide: renew, renegotiate or cancel, and keep the decision and any new agreement in the same record.
The mechanics of alerts and deadlines are covered in more depth on the contract renewal management software page.
For finance and operations
What finance gets out of it
- A dashboard of upcoming renewals, contract value, owners and agreements expiring this quarter.
- CSV export of the whole contract register on every plan, ready to reconcile with the general ledger or the budget.
- On Pro, reporting of contract value by counterparty and department and a renewal forecast export for budgeting.
- Obligation tracking on Plus and above: price review dates, minimum purchase commitments, security questionnaire deadlines and any other date the contract creates.
- AI clause search on Plus: ask for every vendor contract with auto-renewal and a notice period over 60 days and get the list.
What operations gets out of it
- One owner per contract, so every alert has a person who is expected to act.
- A searchable contract repository with version history, so the latest signed version is one search away.
- Approval rules by contract type and value on Plus, so a new vendor above a set amount goes to finance before signature.
- E-signature built in, with the signed PDF and audit certificate filed back into the vendor folder automatically.
Your first week with vendor contracts
Start with the agreements that cost the most or renew soonest. Upload the top twenty or thirty, check the extracted term and notice period against the source sentences, assign an owner to each, and the renewal calendar is live the same day. Then add the long tail of smaller SaaS subscriptions as you find them.
- Starter covers 500 stored contracts and AI extraction for 50 documents per month, which suits a company with a modest vendor list.
- Plus covers 2 500 contracts and 300 extractions per month, plus obligations, approvals and Slack alerts.
- For a larger archive, Enterprise includes dedicated onboarding and migration of the existing contract archive.
Not sure yet how accurate the extraction is on your paper? Run one agreement through the Contract snapshot demo on the homepage first. The broader case for tracking is on the contract management solutions overview, and the AI contract management software page explains the extraction in detail.
Does contract tracking software replace our spreadsheet completely?
Yes for the contract register. Every field you tracked by hand (vendor, term, renewal date, notice period, value, owner) is extracted into structured fields, and you can export the whole register to CSV any time if finance still wants a spreadsheet view.
How does the notice deadline get calculated?
From the end of the current term and the notice period in the contract. If a one year term ends on June 30 and notice is due 60 days before, the notice deadline is May 1, and alerts count down to that date rather than to June 30.
What if the AI reads a date wrong?
Every extracted field shows the sentence it came from, so a reviewer can check it in seconds and edit the value. The corrected value is what drives the alerts.
Can alerts go to someone other than the person who uploaded the contract?
Yes. Each contract has an owner, and alerts go to the owner. On Plus and above, alerts can also go to a Slack channel and appear in an iCal deadline feed.
We have SaaS tools bought on credit cards with click-through terms. Can we track those?
Yes. Save the order confirmation or the terms page as a PDF, upload it, and set the renewal date and notice period if the document does not state them clearly.
Stop paying for renewals nobody chose
