AgreementSoftware

Contract tracking software and contract tracking system for every date and obligation

Contract tracking software keeps every signed contract in one register and watches its dates for you: start and end dates, auto-renewals, the last day to give notice, payment milestones and the obligations you agreed to. AgreementSoftware reads those dates from your PDFs and Word files with AI, shows the sentence each one came from, gives each contract an owner and alerts that person by email, Slack or calendar before the deadline. It is built for US companies with 50 to 2,000 contracts and no legal ops team, it is live in a day, and plans start at $49 a month with prices published.

Who tracks contracts

Who needs a contract tracking system

Contract tracking usually lands on whoever got burned last. A controller who paid a 7% uplift on a software renewal nobody saw coming. An office manager who found out the copier lease rolled over for another three years. A solo in-house lawyer asked by the CEO which customer contracts have a change of control clause, with a shared drive and two days to answer.

None of these people want a full contract lifecycle management project. They want every contract in one place, the dates pulled out without retyping, and a reminder that reaches the right person early enough to act.

  • Finance and operations leads who own vendor spend, leases and service agreements
  • In-house counsel at a company with one or two lawyers and no CLM budget
  • Procurement and IT managers tracking software, telecom and facilities contracts
  • Sales operations teams tracking customer contract end dates and price increase windows
  • Healthcare, nonprofit and real estate teams with obligation and reporting dates on top of renewals

Tracked dates

What contract tracking software should track

Most spreadsheets track one date per contract, the end date. That is the wrong date. The date that costs money is the last day to send a non-renewal notice, which on a typical vendor agreement falls 30 to 90 days before the end. Good contract tracking software records all of these and alerts on the ones that need a decision.

Date or term Why it matters How AgreementSoftware tracks it
Effective and start date Anchors every other date and the first invoice AI extraction with the source sentence shown
End date When the contract stops unless it renews Extracted, shown on the renewal calendar
Auto-renewal and renewal term Whether it rolls over and for how long Extracted as a yes or no plus the term length
Notice deadline Last day to cancel or renegotiate Calculated from the end date and notice period, alert 30 days before
Price increase cap or uplift What the renewal will cost Extracted into a field, searchable
Payment milestones Invoices due on delivery or dates Entered once as obligations with an owner
Reporting and compliance duties Insurance certificates, audits, grant reports Obligation reminders with recurring schedules
Termination for convenience Your exit options before the end Found with AI clause search

A worked example: a $36,000 a year IT services agreement signed on March 1 with a 12 month auto-renewal and 60 days notice. The end date is February 28, the notice deadline is December 30, and the alert goes to the contract owner on November 30. Miss it and you have committed to another $36,000 plus whatever uplift the contract allows.

How it works

How contract tracking works in AgreementSoftware

Setup takes an afternoon for most teams, because nobody types dates by hand.

  • Upload your signed contracts as PDF or DOCX, a few at a time or a whole folder export from a shared drive.
  • The AI reads the parties, effective date, end date, renewal term, notice period, governing law and contract value, and shows the exact sentence behind each value so a reviewer can confirm it in seconds.
  • Assign each contract an owner and a counterparty, and tag it by type (vendor, customer, lease, NDA, employment).
  • Renewal alerts go to the owner 30, 60 or 90 days before the notice deadline by email, Slack or a calendar feed, and escalate if nobody acts.
  • Obligations that are not dates in the contract (deliver a report every quarter, renew an insurance certificate each year) are added once and repeat on schedule.
  • New contracts you send for e-signature are filed and tracked automatically when the last party signs.

Obligations

Contract obligation tracking beyond renewal dates

Renewals are the loudest dates, but they are not the only ones that cost money. A customer agreement may promise a quarterly business review and a 99.9% uptime report. A lease may require proof of insurance every year. A grant agreement may need a financial report 90 days after the period ends. Each of those is a promise someone in your company has to keep, and none of them shows up on a spreadsheet column called "end date".

In AgreementSoftware every obligation has a description, an owner, a due date or a repeating schedule, and a link back to the clause it came from. Owners get reminders, mark the obligation done and attach proof, which leaves an audit trail you can export when an auditor or a customer asks. Obligation reminders and approvals start on the Plus plan. If you need a calendar for every vendor renewal specifically, our contract renewal management software page covers that workflow in depth.

Features of a good contract tracking software solution

The list below is what actually saves time in a contract tracking software solution. Anything beyond it is lifecycle management, which is worth paying for only if you also draft and negotiate at volume.

  • A searchable contract repository with the counterparty, owner, value, dates and tags on every record
  • AI extraction of key dates and terms from PDFs and Word files, including scanned copies, with the source sentence shown
  • Notice deadline calculation, not just end dates
  • Alerts by email, Slack and calendar feed, with a named owner and escalation
  • Obligation reminders with recurring schedules and proof of completion
  • AI clause search across every contract (for example, every contract with an auto-renewal over 12 months)
  • Role-based access, so HR contracts and customer contracts are not visible to everyone
  • An audit trail and a CSV export of the full register for finance, auditors or due diligence

Repository, AI extraction, renewal alerts and e-signature are in every plan. Obligation reminders, approvals and clause search start on Plus.

Spreadsheet, enterprise CLM or a focused contract tracking system

There are three ways companies track contracts. Here is an honest view of each.

Approach Typical cost Good at Where it fails
Excel or Google Sheets plus calendar reminders No software cost Fine under about 30 contracts with one owner Dates retyped by hand, notice deadlines missed, reminders tied to one person's calendar, no link to the signed copy
Enterprise CLM (Ironclad, Icertis, Docusign CLM) Quote only, often $25,000 to $100,000+ a year Drafting, negotiation and workflow for large legal teams Months of setup and a price built for legal departments, not for tracking
AgreementSoftware $49 to $499 a month, published Register, AI date extraction, notice deadline alerts and obligations, live in a day No native ERP integration with NetSuite or SAP, and no AI redlining against a negotiation playbook

If you negotiate thousands of contracts a year through a CRM-driven intake process, an enterprise CLM earns its price. If your real problem is that signed contracts renew without anyone deciding, a focused tracking tool costs a fraction and fixes it this week. When contract value also needs watching against actual invoices, pair the register with real-time spend alerts so finance sees a vendor running over its contract before the renewal talk.

How much contract tracking software costs

AgreementSoftware Starter is $49 a month, or $288 a year billed yearly, for 3 seats, 500 stored contracts, AI extraction for 50 documents a month and 25 e-signature envelopes. That covers most companies tracking up to a few hundred contracts. Plus is $149 a month ($888 a year) with 10 seats, obligation reminders, approvals and clause search. Pro is $499 a month for larger teams and higher volumes. Extra seats are $15 a month. There is no implementation fee and no annual minimum beyond the plan you choose.

For comparison, ContractSafe starts around $450 a month for up to 100 active contracts, Concord publishes $499 a month for 5 users, and Ironclad buyers pay a median of about $40,000 a year according to Vendr. Our contract management software pricing page has the full plan table.

What is the best contract tracking software?

The best contract tracking software for a company without legal ops is the one that reads dates from your contracts automatically, calculates notice deadlines, assigns owners and alerts them in time, at a published price. Enterprise CLM tools track contracts well but are quote only. AgreementSoftware covers all of it from $49 a month.

How do I keep track of contracts?

Put every signed contract in one repository, record the owner, counterparty, end date, renewal term and notice period for each, and set alerts before the notice deadline rather than the end date. Contract tracking software does the extraction and alerts for you, which removes retyping and missed reminders.

Can I track contracts in Excel?

You can, and it works under about 30 contracts with one careful owner. Past that, Excel fails on three points: dates are retyped by hand, notice deadlines are rarely calculated, and reminders live in one person's calendar. A contract tracking system fixes all three and links each row to the signed copy.

What is a contract tracking system?

A contract tracking system is software that stores signed contracts with their key dates and terms and sends alerts before renewals, notice deadlines and obligations come due. It is the post-signature part of contract management, without the drafting and negotiation tools that full CLM platforms add.

How much does contract tracking software cost?

Published plans for small and mid-size teams run from about $49 to $500 a month. Mid-market tools such as ContractSafe and Concord start around $450 to $500 a month, and enterprise CLM platforms are quote only, commonly $25,000 to $100,000 or more a year. AgreementSoftware starts at $49 a month.

What should contract tracking software alert me about?

At minimum, the notice deadline for every auto-renewing contract, end dates for fixed-term contracts, and obligations you must deliver, such as reports, insurance certificates and payments. Alerts should go to a named owner 30 to 90 days ahead and escalate if nobody acts.
