Real estate contract management software for leases, vendor contracts and every notice date in your portfolio
AgreementSoftware is contract management software for real estate owners and property managers. Upload the leases, property management agreements and vendor service contracts for every building, and the AI pulls out the term, renewal option, notice period and rent escalation dates. Each property gets its own folder, each date gets an owner, and reminders go out 90, 60, 30 and 7 days before anything you would regret missing. Plans start at $49 a month with prices published, so a portfolio of five buildings or fifty can be set up the same week.

The contracts behind every property, and the date that costs money
A single mid-size commercial building can carry thirty or more live agreements. Most of them are signed once and forgotten until a date passes. These are the ones that matter to an owner or property manager in the US.
| Agreement | Date that matters | What happens when it is missed |
|---|---|---|
| Tenant lease (you are landlord) | Renewal option exercise window, rent step dates, CAM reconciliation date | Rent steps are not billed, or the reconciliation deadline in the lease passes |
| Ground or office lease (you are tenant) | Renewal option notice, often 6 to 12 months before expiry | The option lapses and you negotiate from a weaker position |
| Property management agreement | Term end, termination notice, fee review date | The agreement renews on old fee terms |
| HVAC, elevator, janitorial and landscaping contracts | Auto-renewal notice window, usually 30 to 90 days | Another year with a vendor you meant to rebid |
| Snow removal and seasonal contracts | Season start and end, rate change dates | Coverage gaps in the first storm |
| Vendor certificates of insurance | Policy expiration | A vendor works on site without current coverage |
| Broker listing and leasing agreements | Expiration, tail period | Commission disputes after the listing ends |
Renewal and notice terms in leases and service contracts are read automatically. Other dates, such as CAM reconciliation or an insurance expiry, are added as custom obligations on Plus and above and sit in the same record as the signed document.
Leases
Lease renewal options and rent steps you will not miss
Commercial leases hide their most valuable dates in the middle of long documents. A renewal option that must be exercised in writing nine months before expiry is worth a lot to a tenant and easy to lose. For a landlord, an unbilled rent step is revenue that rarely gets recovered in full.
- Renewal and termination options. The AI finds the option clause, computes the last day to give notice, and shows the source sentence so you can check it against the lease.
- Rent escalations. Fixed steps and CPI review dates become reminders for whoever bills rent or approves the budget.
- One record per lease. The signed lease, amendments, estoppels and side letters sit together under the property, so the current terms are clear.
- Portfolio view. Filter every lease expiring in the next 18 months across all buildings and export it to CSV for your lender or asset manager.
If you are sitting on a backlog of leases that need a full abstract, with every financial term keyed into a structured sheet, a dedicated lease abstraction service handles that volume. AgreementSoftware then keeps the dates alive after the abstract is done.
Vendor contracts
Vendor service contracts, property by property
Operating costs live in service agreements, and many of them renew on their own. A typical auto-renewal clause says the contract extends for another year unless either party gives written notice 60 days before the end of the term. Across 20 properties, that is dozens of windows a year, each one a chance to rebid or renegotiate that quietly closes.
- Tag every contract with the property, the vendor and the service, so a new property manager sees the whole picture on day one.
- Reminders go to the manager of that building and, on Plus, to a second person, so turnover does not cost you a renewal.
- AI clause search answers questions like "which contracts let us terminate for convenience" across the whole portfolio in seconds.
- The contract register exports to CSV for budgeting and for the year-end rebid list.
Our vendor contract management page covers the finance side of this in more detail.
How it works
Spreadsheet, lease administration suite, transaction software or a contract tool
Real estate software is split into categories that are easy to confuse. The honest picture looks like this.
| Spreadsheet and shared drive | Lease administration suite | Transaction management (agents) | AgreementSoftware | |
|---|---|---|---|---|
| Built for | Anyone | Large portfolios with lease accounting | Agents and brokers closing sales | Owners and managers tracking contract dates |
| Price | Staff time | Usually a custom annual quote | Per agent or per office | $49, $149 or $499 a month, published |
| Reads dates from the document | No | Often a paid abstraction service | No, it manages the closing checklist | Yes, with the source sentence shown |
| Vendor service contracts | If someone enters them | Sometimes, secondary | No | Yes, same register as leases |
| Lease accounting (ASC 842) | Manual | Yes | No | No |
| Setup time | None | Weeks to months | Days | Same day, no implementation fee |
A lease administration suite wins when you run hundreds of leases, need ASC 842 lease accounting and have a team to operate it. Transaction management tools such as those used by residential brokerages are the right choice for moving a purchase agreement to closing, not for the ten years that follow. If your job is knowing what every building has signed and when each notice is due, a contract tool with published pricing is usually the faster and cheaper buy. The best contract management software guide compares more options.
Who uses real estate contract management software
- Commercial property managers running several buildings for one or more owners, with a vendor stack at each site.
- Owners and small real estate investment firms holding office, retail, industrial or multifamily assets without a dedicated lease administration team.
- Corporate real estate and facilities teams on the tenant side, tracking office and warehouse leases across US locations.
- Asset managers and controllers who need a clean list of expirations and rent steps for budgets, lenders and investors.

What is real estate contract management software?
Real estate contract management software stores the leases, management agreements and vendor contracts for each property in one searchable place, reads the key dates from them, and reminds the right person before renewal options, notice windows and rent steps pass. It is built for the years after signing, not for closing a sale.
How do property managers track lease renewals?
Most start with a spreadsheet of expiry dates, which fails when the renewal option has its own notice deadline months earlier. Software reads the option clause, computes the last day to give notice and sends reminders to the property manager at 90, 60, 30 and 7 days, with the lease attached.
How much does real estate contract management software cost?
Published options start around $49 a month for small portfolios. Lease administration suites for large portfolios are usually sold on custom annual quotes. AgreementSoftware costs $49, $149 or $499 a month, or less billed yearly, with no implementation fee.
Is transaction management software the same as contract management software?
No. Transaction management software helps agents and brokers move a purchase or listing agreement through closing with checklists, disclosures and signatures. Contract management software tracks agreements you keep for years, such as leases and vendor contracts, and alerts you before their dates.
Can I track vendor certificates of insurance with the contracts?
Yes. Attach the certificate to the vendor contract record and add the policy expiration as a custom obligation on Plus, so the building manager is reminded before coverage lapses. Teams with hundreds of vendors often use a dedicated certificate tracking tool alongside it.
Does it handle ASC 842 lease accounting?
No. AgreementSoftware tracks lease dates, options and rent steps and exports the register to CSV, but it does not calculate right-of-use assets or lease liabilities. Companies that need ASC 842 schedules use lease accounting software and can keep the contract dates here.
