Contract management software for credit unions and vendor contract tracking
Contract management software for credit unions keeps every core processing, digital banking, card program, ATM, insurance and vendor agreement in one searchable repository, and puts each renewal, notice and termination date on a named owner before it closes. AgreementSoftware reads each signed contract with AI, pulls out the term, renewal type, notice period, termination fees and payment terms, links every value to the sentence it came from, and emails the owner 90, 60, 30 and 7 days before the deadline. It is built for US credit unions whose vendor manager, compliance officer or CFO still tracks contracts in a spreadsheet and needs the evidence ready when examiners ask. Plans start at $49 a month, with every price published.

Who it is for
Credit union contract management for vendor management, compliance and finance
A credit union with $300 million in assets can easily hold 150 active vendor agreements. Most of them renew on their own, a handful run for five years or more, and the few that matter most, core processing, digital banking and card processing, carry notice windows of six months or longer. The people who own them usually have other full-time jobs.
- Vendor management and third-party risk staff who keep the vendor inventory, collect due diligence and track contract dates.
- Compliance and risk officers who need to show examiners that significant vendor contracts were reviewed and are monitored.
- CFOs and controllers who need to know which agreements renew next fiscal year, what they cost and what it takes to leave.
- CEOs and COOs of smaller credit unions, where the vendor program is one person with a spreadsheet and a shared drive.
- IT and digital banking leads who own software, hosting and fintech partner agreements.
AgreementSoftware does not replace your core, your loan origination system or a full third-party risk management platform. It sits beside them and owns the signed agreements, their dates and the duties written into them.
What a missed date costs
What one missed notice date costs a credit union
Credit union contracts are long, and their notice windows are long too. Here is an example with round numbers, not a customer result.
| Item | Example value |
|---|---|
| Agreement | Digital banking platform, current term ends June 30 |
| Annual fee | $96,000 |
| Renewal clause | Renews for another 3 year term unless notice is given |
| Notice required to stop the renewal | 180 days, so by January 1 |
| What happened | The board approved a new provider in December, the notice letter went out in February |
| Cost of the late letter | Either three more years of the old contract or an early termination fee, plus a delayed conversion |
| AgreementSoftware Plus billed yearly | $888 |
The same pattern repeats with card processing agreements that renew automatically, ATM and network contracts with volume minimums, and insurance and bond policies that lapse quietly. When the renewal clause, notice period and termination fee are on one screen with an alert to a named owner months ahead, the credit union negotiates from a position of choice instead of a deadline it already missed.
Agreements
Credit union contracts the software keeps in one place
A credit union signs as a customer of technology vendors, as a partner in card and lending programs and as a tenant or landlord for its branches. Each type has its own dates and terms to watch.
| Agreement | Terms to capture | How it is tracked |
|---|---|---|
| Core processing and data processing | Term, automatic renewal, notice period, deconversion and early termination fees, price escalators | AI reads term, renewal type and notice period, so alerts count back from the notice date, not the end date |
| Digital and mobile banking, bill pay | Term, notice period, minimum fees, service levels, data return duty | Notice deadline alerts and service level duties as obligations |
| Card processing, debit and credit card programs | Term, renewal, volume commitments, incentives that are clawed back on early exit | Renewal dates and commitments tracked per program |
| ATM, shared branching and network agreements | Term, fees, termination notice | Owner and renewal alerts on one counterparty record |
| Indirect lending and dealer agreements | Dealer terms, participation, termination rights | Search across all dealer agreements for a clause |
| Insurance, fidelity bond and broker agreements | Policy period, renewal date, coverage limits | Expiry dates tracked as obligations with an owner |
| Branch leases and facilities | Term, rent escalation, renewal options, notice to exercise | Renewal option dates kept visible years ahead |
| Marketing, collections and other service providers | Term, data security duties, audit rights | Duties stored as obligations with the clause one click away |
Every agreement with the same vendor sits on one counterparty record, so the master agreement, its schedules, amendments and the latest due diligence files are found together.
Vendor due diligence and exams
Vendor due diligence evidence for NCUA exams
NCUA's guidance on third-party relationships, Letter to Credit Unions 07-CU-13 and its enclosed Supervisory Letter 07-01, expects credit unions to plan, perform due diligence, review contracts and then monitor significant vendor relationships. Its later questionnaire, 08-CU-09, is what examiners use to document that review. The GLBA security guidelines in Appendix A to Part 748 also expect a credit union to require its service providers, by contract, to protect member information. Contract management covers the parts of that program that depend on the contract itself.
- Keep each signed contract, amendment and schedule in one record, with the date the board or committee approved it.
- Record review dates for financial statements, SOC reports, insurance certificates and business continuity tests as obligations with an owner and a due date.
- Search every agreement for "confidential", "member information", "audit" or "terminate" when an examiner asks which contracts carry which protections.
- Export the vendor contract register to CSV for the exam request list, the supervisory committee or the board packet.
- From Plus, an audit log shows who opened, changed and approved each contract.
AgreementSoftware is not a vendor risk scoring tool and does not issue questionnaires to vendors. Credit unions that need a full compliance program, with controls mapped to regulations and evidence collected across the institution, pair it with compliance management software built for that. Obligation tracking in general is covered on our contract compliance software page.
How it works
How a credit union gets its vendor contracts under control in a week
- Bulk upload signed PDFs and Word files from the shared drive, the vendor management folder and email. Scanned contracts are read too.
- AI extraction fills in the parties, effective date, term, renewal type, notice period, governing law and payment terms. Each field links to its source sentence, so checking a record takes seconds.
- Organize with folders and tags by department, vendor criticality and contract type, and restrict sensitive folders, such as employment or legal agreements, to the people who need them.
- Give every agreement an owner. Reminders arrive by email and Slack, and an iCal feed puts notice deadlines in the team calendar.
- Search every contract for a phrase such as "automatically renew", "early termination" or "deconversion" and get the list of agreements that contain it.
- Export the register to CSV for budgeting, the board or the examiners.
The deadline side is described on our contract renewal management software page, and the search and storage side on our contract repository software page.
Approvals and the board
Approvals before signature and reporting to the board
Most credit unions set a dollar threshold above which a new vendor contract needs approval from the CEO, a committee or the board, and many policies require an annual vendor management report to the board. Both are easier when every contract is in one place.
- Approval rules by contract type and value on Plus route a new agreement to the department head, compliance and the CEO before it goes out for signature.
- Pro adds multi-step and parallel approvals, so legal review and the CFO can sign off in one flow.
- A dashboard of agreements renewing in the next 90 or 180 days shows what has to go on the next committee or board agenda.
- E-signature with signing order sends a contract to the vendor and then to the CEO, and files the signed copy with an audit certificate.
- Reports by counterparty and department on Pro give the annual vendor report its contract list, total commitments and upcoming renewals.
Credit union contract management software compared honestly
Credit unions usually choose between four approaches. The right one depends on how many vendors you hold and whether you also need risk scoring and vendor questionnaires in the same system.
| Option | Built for | Good at | Where it falls short |
|---|---|---|---|
| Spreadsheet and shared drive | A small credit union with a few dozen vendors | Costs nothing extra | Dates go stale, nobody owns the reminder, no audit trail |
| Core or league add-on modules | Credit unions already on that core or league program | Close to existing systems | Contract reading and notice alerts are often basic |
| Third-party risk management platforms built for financial institutions | Institutions with a dedicated vendor management team | Risk ratings, vendor questionnaires, document collection, regulatory content | Quote only, usually priced for the full vendor program |
| AgreementSoftware | Credit unions with roughly 30 to 2,000 active agreements | AI extraction, notice alerts, obligations, approvals and e-signature with published prices | No vendor risk scoring, no vendor questionnaires, no native core connector (API and webhooks on Pro) |
If you need risk scores and vendor questionnaires in one system, a financial institution risk platform is the better fit. If the problem is finding the signed contract, knowing what it says and never missing a notice window, you can start the same day. Our vendor contract management software page covers the wider vendor side, and similar regulated buyers use AgreementSoftware for healthcare contract renewals.
What credit union contract management software costs
Most credit unions start on Plus, because approval rules, folder permissions and the audit log matter as soon as vendor management, finance and IT share the system.
| Plan | Price billed yearly | Monthly price | What a credit union gets |
|---|---|---|---|
| Starter | $288 a year | $49 a month | 3 seats, 500 contracts, AI extraction, renewal and notice alerts, 10 templates, CSV export |
| Plus | $888 a year | $149 a month | 10 seats, 2,500 contracts, obligation tracking, approval rules, folder permissions, audit log, Slack and iCal |
| Pro | $2,988 a year | $499 a month | 40 seats, unlimited contracts, multi-step approvals, reports by counterparty and department, API and webhooks |
| Enterprise | $5,988 a year | $998 a month | 100 seats, SSO and SCIM, custom retention, audit log export, DPA and security review support, SLA |
There is no implementation fee, and an extra seat is $15 a month. Enterprise includes written answers to your security questionnaire and a data processing agreement, which most credit unions need before a vendor holds member data. The full plan list is on our pricing page.
What is the best contract management software for credit unions?
The best contract management software for a credit union reads the term, renewal type, notice period and termination fees from each signed vendor agreement, alerts a named owner well before the notice window closes, keeps due diligence review dates as tracked obligations, routes new contracts for approval and keeps an audit log. Credit unions that also need vendor risk scoring look at financial institution risk platforms.
How do credit unions track vendor contracts?
Many smaller credit unions track vendor contracts in a spreadsheet kept by vendor management or finance, with signed copies on a shared drive. Contract management software replaces that with one repository, dates read from the contract itself, and reminders to an owner 90, 60, 30 and 7 days before each renewal or notice deadline.
What does NCUA expect from credit union vendor contracts?
NCUA's Letter to Credit Unions 07-CU-13 expects credit unions to assess risk, perform due diligence, review contracts and monitor significant third-party relationships, and recommends legal review of significant contracts. Appendix A to Part 748 also expects service providers to be required by contract to protect member information. Keep the contract, approvals and review evidence together.
How far ahead should a credit union start a core processing renewal?
Start at least 12 to 18 months before the end of the term. Core and digital banking contracts often require six months or more of written notice, and a conversion to a new provider can take a year. Tracking the notice date, not just the end date, is what keeps the choice open.
How much does contract management software cost for a credit union?
On AgreementSoftware, a credit union pays $49 a month, or $288 a year billed yearly, for 3 seats and 500 contracts, and $149 a month, or $888 a year, for 10 seats with obligation tracking, approvals, folder permissions and the audit log. Enterprise, with SSO, a DPA and security review support, is $5,988 a year.
Is our member data safe in contract management software?
Contracts are encrypted in transit and at rest, access is limited by role and folder from Plus, and contracts are never used to train AI models. Vendor contracts rarely hold member records themselves, but Enterprise adds SSO, a signed DPA and written answers to your security questionnaire for your own vendor review.
