Contract reminder software for contract renewal reminders, expiry alerts and obligation dates
AgreementSoftware is contract reminder software that pulls the dates out of your signed contracts and reminds the right person before each one passes. Upload a PDF or DOCX, the AI reads the term, the auto-renewal clause and the notice period, and the contract owner gets an email 90, 60, 30 and 7 days before the notice deadline. Plans start at $49 a month, with no calendar entries to type and no spreadsheet to keep current.

What contract reminders should cover
Most missed contract dates are not the expiration date. They are the smaller dates buried in the middle of the agreement that nobody copied into a calendar. Good contract reminder software watches all of them.
| Reminder | Where it comes from in the contract | Why it costs money when missed | Plan |
|---|---|---|---|
| Notice deadline | Term end date minus the notice period | The contract auto-renews for another full term | Every plan |
| Renewal date | Auto-renewal clause | A new term and a new invoice start without a decision | Every plan |
| Expiration date | Term clause of a fixed-term agreement | Service stops, or you keep working without a signed contract | Every plan |
| Price review or escalator | Pricing section, CPI or percentage uplift clause | A 5 to 10 percent increase applies without negotiation | Plus and above |
| Minimum purchase commitment | Volume or spend commitment | You pay a shortfall fee at the end of the year | Plus and above |
| Insurance certificate renewal | Insurance requirements clause | A vendor works on site with lapsed coverage | Plus and above |
| Audit or reporting right | Audit clause | The window to check the vendor's billing closes | Plus and above |
A shared calendar can hold any of these dates once somebody finds them. The work contract reminder software removes is the finding: reading 40 pages to locate the one sentence that sets the date.
From signed PDF to scheduled reminder
- Upload the signed contract as a PDF or DOCX, drag in a whole folder, or sign a new agreement through the built-in e-signature so it files itself.
- AI extraction reads the parties, the effective date, the term, the renewal clause and the notice period, and shows the source sentence next to each value.
- You check the fields and correct anything you disagree with. The reminders always follow the corrected value, never the raw AI guess.
- The notice deadline is computed, an owner is assigned, and reminders are scheduled for 90, 60, 30 and 7 days before it.
The whole flow takes a few minutes for a single contract. An archive of a few hundred contracts is usually searchable, with its renewal dates known, within a day. Try it on one of your own agreements in the demo on this page before you create an account.
Contract reminder software vs Outlook, Google Calendar and spreadsheets
Calendar reminders and spreadsheets are where most companies start, and they work for the first ten contracts. They fail in three predictable ways as the list grows.
- Nobody enters the date that matters. People put the end date in the calendar. The notice deadline is 30, 60 or 90 days earlier, so the reminder fires when it is already too late to cancel.
- The reminder belongs to one person's inbox. When that person changes roles or leaves, their calendar reminders go with them. In AgreementSoftware the reminder belongs to the contract record, and changing the owner field moves every future reminder to the new owner.
- A spreadsheet has no alarm. A tracker with an expiration column only helps if somebody opens it and sorts by date every week.
| Calendar or spreadsheet | AgreementSoftware | |
|---|---|---|
| Who finds the date | A person reads the contract | AI reads it and shows the source sentence |
| Notice deadline | Calculated by hand, often skipped | Computed from term and notice period |
| Reminder schedule | One reminder, if any | 90, 60, 30 and 7 days before the deadline |
| Survives staff changes | No | Yes, reminders follow the contract owner field |
| Signed copy attached | Usually a link, often broken | The contract is stored in the same record |
| Cost | Staff time | From $49 a month, $288 a year billed yearly |
One vendor contract, four reminders
Here is how the schedule works on a typical US vendor agreement. The numbers are an illustration, not a real contract.
- Contract: managed IT services, $3,500 a month, $42,000 a year.
- Term: 36 months from January 1, 2024, ending December 31, 2026.
- Renewal: automatic 12 month renewals.
- Notice: written notice at least 90 days before the end of the term.
Ninety days back from December 31, 2026 is October 2, 2026. That is the notice deadline. AgreementSoftware reminds the owner on July 4, August 3, September 2 and September 25, 2026. The first reminder leaves a full quarter to run a competing quote. Without it, the most common way this contract gets noticed is the January invoice for the next $42,000 year.
Teams that use contract reminder software
- Finance and operations leads at companies with 20 to 500 people, who own the vendor and SaaS stack and get blamed for surprise renewals. Our contract tracking software page covers the vendor side in detail.
- In-house counsel and legal teams of one or two people, who need notice deadlines tracked across hundreds of agreements without a legal ops hire. See legal contract management software.
- Office and facilities managers with leases, maintenance agreements and service contracts that each carry their own notice clause.
- Healthcare and regulated organizations where a lapsed agreement or a lapsed certificate of insurance is a compliance finding, not only a cost.
If your problem is specifically auto-renewing subscriptions, our contract renewal management software page goes deeper on notice deadline arithmetic.
Contract reminders on every plan
Starter costs $49 per month, or $288 a year billed yearly, and includes 3 seats, up to 500 stored contracts, AI extraction for 50 documents per month and renewal reminders for every contract. Plus at $149 per month ($888 a year billed yearly) adds obligation tracking with custom reminders for any date in the contract, Slack notifications and an iCal feed so deadlines appear in Outlook and Google Calendar. Pro at $499 per month adds renewal forecast exports for finance. Compare everything on our contract management system cost page.
How do I get reminders for contract renewals?
Upload the contract and let the software read the term, renewal clause and notice period. AgreementSoftware computes the notice deadline and emails the contract owner 90, 60, 30 and 7 days before it, so the reminder arrives while cancelling or renegotiating is still possible, not after the renewal has started.
How far in advance should you be reminded of a contract renewal?
At least 30 days before the notice deadline, not the end date, and 90 days for any contract worth negotiating. Ninety days leaves time to check usage and get a competing quote, 30 days is the decision point, and a final reminder a week out is the last chance to send written notice.
Can Outlook remind me when a contract expires?
Yes, if someone creates the event by hand with the right date. Outlook cannot read the contract, so it will not know the notice period. On Plus and above, AgreementSoftware publishes an iCal feed of computed deadlines that Outlook and Google Calendar subscribe to, so the calendar stays current without typing.
What is the difference between a contract expiration reminder and a renewal reminder?
An expiration reminder is tied to the last day of the term. A renewal reminder is tied to the notice deadline, the last day you can stop an automatic renewal, which comes 30 to 90 days earlier. For auto-renewing contracts the renewal reminder is the one that saves money.
Who gets the reminder if the contract owner leaves the company?
Reminders belong to the contract record, not to a person's calendar. Change the owner field and every future reminder goes to the new owner. The dashboard also lists upcoming deadlines for everyone with access, so an unowned contract is visible rather than silent.
Does contract reminder software work with contracts we already signed?
Yes. Most customers start with their existing archive. Upload the signed PDFs or DOCX files in bulk, review the extracted dates, and reminders are scheduled for every contract that still has a future deadline.
