Contract management system for growing companies

A contract management system is the place where every agreement lives after it is signed and where every new one starts. Agreementsoftware gives a growing company that place without an enterprise project: one repository, AI that reads the dates out of your PDFs, alerts before notice deadlines, templates, approvals and e-signature, all on one record per contract.

Parts of the system

Seven parts, one record per contract

  • Repository: upload PDF and DOCX files into folders, tag them, link counterparties, assign owners and search the full text of every agreement, with version history on each one.
  • AI extraction: parties, effective date, term, auto-renewal, notice period, termination, payment terms, liability cap and governing law land in structured fields, each with its source sentence and each editable.
  • Renewal and obligation alerts: the notice deadline is computed from the term and the notice period, and the owner is emailed at 90, 60, 30 and 7 days, plus any custom obligation reminders you add.
  • Templates: company templates with variables, a clause library and a first draft generated from a short form.
  • Approvals: rules by contract type and value, an approver chain, comments and a full audit trail.
  • E-signature: signing order, reminders and a signed PDF with an audit certificate filed back into the repository automatically.
  • Dashboard: upcoming renewals, contract value, contracts by owner and everything expiring this quarter.

Versions are compared side by side, so a returned draft shows exactly which words the other side changed. The redline side is covered on contract redlining software.

What changes in a normal week

A contract management system proves itself in ordinary weeks, not in the demo. This is what a week looks like for a company of about 150 people once the archive is in.

  • Monday: the finance lead opens the dashboard, sees three vendor contracts with notice deadlines this quarter and assigns each one an owner.
  • Tuesday: sales sends an order form from a template; the discount is above the approval threshold, so the sales director approves it in the record before it goes out for signature.
  • Wednesday: the signed order form returns and files itself into the customer's folder with its audit certificate, and its renewal date is already on the dashboard.
  • Thursday: legal searches every supplier agreement for the liability cap before a board meeting and exports the list.
  • Friday: the owner of a software subscription gets the 30 day alert, decides not to renew and sends notice on time.

None of those steps needs a spreadsheet, a chat thread or a search through somebody's inbox.

Access and audit trail

Who sees what, and who changed what

Contracts are confidential, and not everyone should see every one. On Plus and above, roles and permissions are set per folder, so HR agreements, customer contracts and board documents each stay with the people who need them. The audit log records who edited, approved and sent each contract.

  • Your contracts stay yours. Export everything, any time.
  • Encrypted in transit and at rest.
  • We do not train AI models on your contracts.
  • On Enterprise: SSO (SAML), SCIM, custom retention, audit log export and support for your DPA and security review.

Details are on the security page.

Connected to the tools your team already uses

On Plus, deadlines reach people where they work: Slack and email notifications, and an iCal feed that puts every notice deadline into the calendar. On Pro, the system connects with Salesforce, HubSpot, Google Drive, OneDrive and Slack, and a REST API with webhooks lets your own tools read contracts and react to events. Pro reporting shows contract value by counterparty and department and exports a renewal forecast for finance.

What to check before you choose a contract management system

  • Can it read the contracts you already have, or does someone type every date in by hand?
  • Is the notice deadline computed for you, or only the expiry date?
  • Can you see the source of every AI value and correct it?
  • Does the signed copy file itself, or does someone download and re-upload it?
  • Are prices published, and can you start this week without a consultant?
  • Can you export everything if you leave?

We answer each of these the same way: yes. For a fair comparison with other vendors, see the best contract management software guide, and for the full lifecycle view, our contract lifecycle management software page. Smaller teams can start with contract management software for small business.

What is a contract management system?

It is software that stores, organizes and tracks a company's agreements: a searchable repository, the key dates and terms of each contract, alerts before deadlines, and usually drafting, approval and signature tools as well.

Can we import our existing contracts?

Yes. Upload PDF and DOCX files, individually or by folder, and AI extraction fills the key fields for review. On Enterprise, dedicated onboarding includes migration of the existing archive.

How are extra seats billed?

Extra seats on Starter, Plus and Pro cost $15 per seat per month, on the same billing period as your plan.

Do you offer SSO?

SSO (SAML) and SCIM provisioning are part of Enterprise. Talk to sales for a quote and a security review.
