Healthcare contract management software for practices and provider groups
Healthcare contract management software keeps the payer, supplier, staffing and equipment lease agreements of a practice in one repository, pulls the dates out of the PDFs and alerts the right person before a deadline passes. Agreementsoftware does this for medical practices, clinic groups and provider organizations, whose agreements have nothing to do with patient care on the surface and everything to do with it underneath: payer contracts that set reimbursement, supplier agreements for drugs and consumables, staffing and locum agreements that keep shifts covered, and equipment leases for the imaging suite. Each one has a term, a renewal, a notice period and obligations with dates.
The healthcare agreements we see most
- Payer agreements: reimbursement terms, fee schedule references, term and renewal, termination notice, credentialing and reporting obligations.
- Supplier and group purchasing agreements: pricing, minimum volume commitments, price review dates and auto-renewal.
- Staffing agency and locum tenens agreements: rates, minimum notice for cancelling shifts, conversion fees, insurance certificates and term.
- Equipment lease and service agreements: lease term, end-of-lease options, maintenance schedules and buyout dates.
- Facility, landlord and service vendor agreements: rent reviews, service levels and renewal windows.
- Physician, contractor and medical director agreements, alongside NDAs and consulting agreements.
Obligation dates
Dates that cannot be missed
Healthcare agreements carry more dated obligations than most. Missing a payer termination window can lock in a rate for another year. Missing the end-of-lease notice on a piece of equipment can roll it into a month-to-month rate or an automatic extension. Missing the date an insurance certificate is due under a staffing agreement can leave a shift uncovered.
- AI extraction reads each agreement and fills in parties, effective date, term, auto-renewal, notice period, termination, payment terms, liability cap and governing law, with the source sentence shown for every field.
- The notice deadline is computed from the term and the notice period, and the contract owner gets email alerts at 90, 60, 30 and 7 days before it.
- On Plus and above, obligation tracking adds custom reminders for anything else the contract requires: rate reviews, reporting deadlines, insurance certificates, equipment maintenance and end-of-lease options.
- On Plus, alerts can also go to Slack and appear in an iCal deadline feed in the owner's calendar.
The general mechanics are explained on the contract renewal management software page.
One equipment lease, one missed window
Take an imaging equipment lease at $6,000 per month with a five year term and a requirement to give 90 days notice before the end of the term to return the equipment. If nobody sends notice, the lease extends on the same payments. Missing the window by a few weeks can commit the practice to months of payments on equipment it intended to replace. A Plus plan billed yearly is $888. This is an illustration with round numbers, not a customer result, but it shows why dated obligations deserve alerts rather than memory.
Repository and access
One repository across locations and departments
Keep every agreement in folders by location, department or agreement type, with tags, counterparties, owners and full-text search. Version history keeps each amendment with the original.
- Roles and permissions per folder on Plus and above, so physician compensation agreements are visible only to the people who should see them.
- Approval rules by contract type and value on Plus, so a new supplier above a set amount goes to the practice administrator or the CFO before signature.
- E-signature with signing order and reminders, and the signed PDF with its audit certificate filed back automatically.
- Dashboard of upcoming renewals, contract value, owners and agreements expiring this quarter.
- CSV export of the full register on every plan, and on Pro, reporting of contract value by counterparty and department.
The repository itself is described on the contract repository software page.
Security and protected health information
Your contracts stay yours. Export everything, any time. Data is encrypted in transit and at rest, and we do not train AI models on your contracts. Business agreements such as supplier contracts, leases and staffing agreements usually do not contain patient records. If any of your contracts contain protected health information, talk to us about your requirements before uploading them. Enterprise includes DPA and security review support, SSO, SCIM, custom retention and audit log export. Read more on the enterprise contract management system page.

What does healthcare contract management software track?
The agreements that run the organization: payer, supplier, staffing, locum, equipment lease, facility and professional services agreements, with their terms, renewal dates, notice periods and dated obligations.
Can we track obligations that are not renewal dates?
Yes. On Plus and above, obligation tracking lets you add custom reminders with owners and dates, such as rate reviews, insurance certificates, reporting deadlines and end-of-lease options.
Can we upload contracts that contain patient information?
Talk to us about your requirements before uploading any contract that contains protected health information. Most business agreements do not, and those can be uploaded as usual.
Who sees physician compensation agreements?
Only the people you allow. Roles and permissions are set per folder on Plus and above.
Keep every payer, supplier and lease date in view
Upload your agreements, confirm the extracted dates and assign owners. The alerts take it from there. If you also run vendor SaaS contracts, read contract tracking software for vendor contracts.
