A 501(c)(3) with a $2 million budget typically holds far more agreements than its staff count suggests. Each type fails in its own way, and most of the cost comes from a date nobody saw.

A contract buys goods or services for your own use. Both are agreements you should store and track, but subawards also need monitoring and reporting dates.

How long should a nonprofit keep contracts and grant records?

For federal awards, 2 CFR 200.334 generally requires keeping records for three years from the date the final expenditure report is submitted, longer if an audit or litigation is open. Many organizations keep signed contracts for at least seven years after they end. Check your funder terms and ask your auditor.
